Writing for people and AI: how to structure website content for better visibility

AI is changing how people discover and consume information online.

Instead of searching for a phrase and working through a list of results, people are increasingly asking AI assistants direct questions and receiving a summarised response.

This means your content may be read and interpreted by an AI system before a person ever reaches your website.

But this doesn’t mean organisations should start writing for machines instead of people.

The same qualities that make content useful to people—clarity, structure, accuracy, authority and relevance—also make it easier for search engines and AI systems to understand.

The goal is not to manipulate AI into referencing your website. It is to create genuinely useful content and give it the structure, context and technical foundations needed to be interpreted accurately.

Start with what your audience needs to know

Every page should have a clear purpose.

Before writing, consider:

  • Who is this page for?
  • What are they trying to understand or accomplish?
  • What questions are they likely to have?
  • What information do they need to make a decision or take the next step?

Traditional SEO often concentrated heavily on the words people entered into a search engine. Keywords remain useful, but modern search systems are increasingly focused on meaning and intent.

A person searching for “council missed bin” may actually need to report a missed collection. Someone asking about “course deferral” probably wants to understand whether they are eligible, what the consequences are and how to apply.

Content should address the real need behind the search, not simply repeat the search phrase.

Put the important information first

People scan online content, and AI systems also rely on clear signals to identify what a page and each of its sections are about.

Introduce the page’s main subject early. Avoid making readers work through several paragraphs of background before reaching the information they need.

The same principle applies within individual sections. A descriptive heading followed by a direct opening sentence makes the content easier to understand than a clever heading followed by a long introduction.

For example, a heading such as “Eligibility for financial assistance” provides more context than “Could this be for you?”

Clear doesn’t have to mean dull. It means making sure creativity doesn’t obscure meaning.

Use headings to create a meaningful structure

Headings do more than break up a page visually. They communicate how information is organised and how different ideas relate to one another.

A clear heading structure should:

  • Use one main page heading.
  • Divide the content into logical sections.
  • Use subheadings to group related details.
  • Describe what each section contains.
  • Follow a consistent hierarchy.

Headings should be written for meaning, not simply added to make a page look more interesting.

This helps people scan the page, supports users navigating with assistive technology and gives search and AI systems a clearer representation of the content.

Make each section useful on its own

AI-generated answers may draw on one section of a page rather than interpreting the page as a single continuous article.

Each section should therefore provide enough context to remain meaningful when it is summarised or presented separately.

This does not mean repeating the same background information throughout the page. It means using specific headings, naming the subject clearly and avoiding vague references that rely too heavily on what appeared several paragraphs earlier.

For example, “Applications close on 30 September 2026” is more useful than “They close at the end of next month.”

Specific content is usually easier for people and machines to understand.

Use lists, tables and FAQs appropriately

Different content structures communicate different kinds of information.

Bulleted lists are helpful for collections of related items. Numbered lists work well for instructions or activities that must happen in sequence. Tables can make comparisons and structured information easier to understand.

Frequently asked questions can also be useful when they reflect genuine audience needs. However, turning every section into a question or adding generic FAQs solely for search visibility rarely improves the content.

Choose the structure that best communicates the information.

A complex policy may need an explanation in prose. An application process may be clearer as a numbered sequence. Eligibility requirements may work best as a short list.

The aim is not to use as many formats as possible. It is to make the information easy to follow and interpret.

Be consistent when naming things

Organisations often use several names for the same service, program or department.

Internal teams may understand that an abbreviation, formal title and shortened name all refer to the same thing. Website visitors—and the systems interpreting your content—may not.

Introduce the official name clearly, explain any abbreviation and then use terminology consistently.

Consistency helps establish relationships between pages and reduces the risk of information being misunderstood or attributed to the wrong service.

This is particularly important for organisations with multiple websites, programs, locations or service areas.

Demonstrate genuine expertise

AI can produce large amounts of polished but generic content. Publishing more words is not necessarily going to make an organisation more visible or authoritative.

Useful content contains something worth finding.

Depending on the subject, this may include:

  • Original research or organisational data.
  • Practical experience.
  • Examples and case studies.
  • Clearly explained processes.
  • Specialist knowledge.
  • Attributed expert commentary.
  • Links to authoritative evidence and source material.
  • Answers to questions that are not adequately addressed elsewhere.

Rather than making broad claims such as “we are leaders in our field”, explain what the organisation has delivered, who it has helped and what changed as a result.

Specificity gives people a reason to trust the content. It also provides clearer information for AI systems to interpret and reference.

Make authorship and accountability clear

People need to know whether information is credible, current and appropriate for their circumstances.

Where relevant, identify:

  • Who wrote or reviewed the content.
  • Their role or subject-matter expertise.
  • When the content was published.
  • When it was last reviewed or updated.
  • The evidence or sources supporting important claims.

This is particularly important for government, healthcare, financial, legal and other content that may influence significant decisions.

AI can help organisations research, structure and refine content, but accountability for published information must remain with people.

Keep content current

Outdated content can create a poor user experience and may also be repeated in search results or AI-generated answers long after it has ceased to be accurate.

Every organisation should have a process for maintaining important website content.

This may include:

  • Assigning a content owner.
  • Setting review dates.
  • Identifying time-sensitive information.
  • Archiving or redirecting superseded pages.
  • Recording approvals and revisions.
  • Regularly checking links, documents and contact details.

Publishing is not the end of the content lifecycle. Content needs ongoing ownership and governance if it is to remain useful and trustworthy.

Support good writing with technical structure

Strong writing is only one part of AI visibility.

The website also needs to communicate the meaning and relationship of its content through its underlying structure.

Important technical foundations include:

  • Semantic HTML that identifies headings, navigation, articles and other page elements correctly.
  • Structured data and schema that provide machine-readable information about content.
  • Descriptive page titles and metadata.
  • Canonical URLs that identify the preferred version of a page.
  • XML sitemaps that help systems discover current content.
  • Clear internal links between related information.
  • Accessible templates and components.
  • Content models that separate meaningful information into structured fields.

These foundations should ideally be built into the content management system rather than added manually to individual pages.

Technical structure cannot make weak content authoritative, but it can make strong content easier to discover and interpret.

Don’t create content simply to create more content

Generative AI has made it faster and cheaper to produce large volumes of text. It has not made all that content useful.

Publishing generic articles that repeat information already available elsewhere can make a website harder to manage without meaningfully improving its visibility.

Before creating something new, ask:

  • Does our audience need this?
  • Do we have something useful or distinctive to contribute?
  • Is there an existing page that should be improved instead?
  • Can we support the content with evidence or experience?
  • Who will maintain it after publication?

A smaller body of clear, authoritative and well-maintained content is generally more valuable than hundreds of repetitive pages.

Good content foundations still matter

AI search introduces new considerations, but it doesn’t overturn the principles of effective website content.

Organisations still need to understand their audiences, answer real questions, communicate clearly and maintain accurate information.

What is changing is the number of systems consuming that content and the different ways it may be presented.

By combining useful writing with clear information architecture, accessible design, structured content and sound technical implementation, organisations can create websites that work better for people while also being easier for search engines and AI systems to understand.
